Life Systems Software demands and requires that the ChiroSuiteEHR data is backed up daily. This is a requirement of the Software License Agreement and the Technical Support Agreement. Using the ChiroSuiteEHR system makes the office paperless. This means that the practice is 100% dependant on electronic files. The advantage of electronic files is that it is easy to have many copies of the files in different locations. If one copy is lost, another one is readily available to replace it. If the data is lost without having other copies, it will be very difficult if not impossible to replace it. This data is the lifeblood of the practice. If it is gone, there is no way to know who owes you money, or to substantiate any of the billing that you have done, or to know your appointment schedule, or to have access to your patient information and documentation. MAKE SURE YOUR DATA IS SAFE!!!
Use a minimum of 5 different removable media, one for each day of the week, Monday through Friday. Additional backups can be made with internet backup services. It is critical that you have a backup as recent as last night and other backups that are as historical as last week, but not more than a week old. Especially if you do NOT use an online internet backup service, for the maximum fire and theft protection, at least once per week, one of the backups MUST be stored someplace other than your office. Fires, floods, vandalism and thefts can destroy computers and backups. Make sure your data is safe!!!
Removable media include
• CDs/DVDs
• Flash drives, also known as USB keys
• Zip drives
• Tape drives
• External hard drives
• Laptop, notebook, or tablet computers that are NOT used as the server computer
Remember, all users must be logged out of the ChiroSuiteEHR programs of ChiroOffice and/or ChiroPadEMR, with the Attendant Bar closed, from every workstation and the server while you are backing up the database!
