Entering New Transactions

There are 2 methods of accessing the New Transactions window; [1] from within the patient account and [2] via the Check Out system. Although there are occasions when a transaction needs to be entered directly in the account, it is usually better to enter them as part of the Check Out process.

 

Transaction Entry Within the Patient Account

After opening the patient account in the ChiroOffice section of ChiroSuiteEHR, click on the Transaction icon  in the Icon Bar on the left side. This opens the New Transaction window. Note that today’s Current Date has been entered as the default in the DOS column and that the Provider assigned to the patient in the Patient Info window is already entered.

 

Click into the ID column and enter the ID code for the service or product given. If an entry needs to be made but the code is not known, double click in the ID field on the line on which the item needs to be entered. This opens the Procedure Pick List window (figure 20) and enables the selection of the appropriate accounting, product, or service item.

Make all the line item entries that are needed. If the patient is requesting a Receipt and it has NOT been set up for automatic printing, click the Printer icon at the upper left that is adjacent to the Next Appointment box. If NO receipt is needed, or if automatic receipt printing has been arranged, click the Save icon on the upper left that is next to the Auto-Checkout Macro box.

 

Transaction Entry during the Check Out Procedure

ChiroSuiteEHR was designed to smooth the flow of patient data entry. If the Appointment Scheduler is in use, then scheduled patients are listed on the left side of the Front Desk window in both ChiroOffice and ChiroPadEMR.

 

As each patient arrives, he or she is signed in by a staff member in ChiroOffice, moving the patient’s name to the right side of the Front Desk window. On the Doctor’s computer, the patient appears in ChiroPadEMR, on the right side of the Front Desk window, eliminating the need for the Doctor to type in and search for the patient’s account. The Doctor opens the patient file in ChiroPadEMR, makes all the necessary entries, generates the SOAP note and closes the patient file.

 

The patient arrives at the Check Out station where a staff member right clicks on the patient name and selects Check Out.

 

If the patient has another appointment already scheduled, the system goes directly to the Transaction window.

 

If the patient does NOT have another appointment scheduled, ChiroSuiteEHR opens the Appointment Scheduler. Schedule the appointment, or multiple appointments, and Save the entry. Since this is part of the Check Out process, the system moves into the Transaction window. Provided that it was set up, ChiroOffice will generate the charges for the day based on what the Doctor documented on the Plan window in ChiroPadEMR. All the staff needs to do is collect and enter payments and click the Save icon. The Transaction window closes and the system is ready for the next patient to be processed.
